Additional Services Authorization Template

When an owner asks for something outside the agreement, a short signed authorization puts the extra work and its fee on record before you start. This template states what prompted the change, the services, the fee and how it's billed, and the effect on the schedule, and ties it to the original agreement.

This Additional Services Authorization is made on [Contract Date] between [Company Name] ("Architect") and [Client Name] ("Owner"). It adds to the agreement between them for [the project and the agreement's date, for example: the 14 Elm Street addition, dated March 3, 2026] (the "Agreement").

1. Reason for the Change

[Describe what prompted it, for example: Owner has asked to add a 240 square foot covered porch at the rear of the house, after design development was approved.]

2. Additional Services

Architect will provide these services, which aren't part of the basic services in the Agreement:

  • Revise the floor plans, elevations, sections, and roof plan affected by the change
  • Coordinate the change with the structural engineer and other consultants
  • Update the construction documents and permit set, and respond to plan review comments the change causes

3. Fee

These services are billed hourly at the Agreement's rates of $150 per hour for a principal architect and $110 per hour for project staff. The estimated fee is $[amount, for example: 3,200], and Architect won't exceed it without Owner's written approval. Reimbursable expenses are billed at cost, as in the Agreement.

4. Schedule

The change adds about [two weeks] to the construction documents phase. Later dates in the Agreement move by the same amount.

5. Agreement

All other terms of the Agreement stay the same and apply to these services. Once signed by both parties, this authorization becomes part of the Agreement. Architect will begin the work when it receives Owner's signature.

By signing below, Owner authorizes these additional services and their fee.

Frequently asked questions

What counts as an additional service for an architect?

Anything outside the basic services in the agreement. Common examples are design changes after a phase is approved, revisions for code changes after submission, extra site visits, and as-built drawings.

Why get additional services approved in writing?

A signed authorization records the scope and fee before the work starts, so the invoice is no surprise. Many agreements require one before additional services can be billed.

Is this additional services authorization template free?

Yes. Read and copy the full text on this page, or edit it online and see it as your client will. When it's ready, start a free Clientary trial to send it or download it as a PDF.

Has a lawyer reviewed this template?

No. It's a general starting point written by Clientary, not legal advice, and it hasn't been reviewed by a lawyer for your situation or the laws where you and your client work. Have your own counsel review it before you use or sign it.
