Additional Services Request Template

When a change from the design team lands outside your scope, asking before you do the work keeps it from becoming an argument at billing time. This template explains what changed, the work it causes, an hourly estimate with a ceiling, the schedule impact, and what happens if the client says no.

This Additional Services Request is made on [Contract Date] between [Company Name] ("Engineer") and [Client Name] ("Client"), under the agreement between them for [the project and the agreement's date, for example: structural engineering for 210 Main Street, dated March 3, 2026] (the "Agreement").

1. What Changed

[Describe the change, for example: On June 2, Client issued a revised layout that moves the second-floor stair and widens the storefront openings on the north elevation. Engineer had already completed and issued design development based on the earlier layout.]

The change falls outside the services in the Agreement, so Engineer is asking for Client's approval before doing the work.

2. Work Required

  • Revise the affected framing plans, details, and calculations
  • Recheck the members and foundations that carry the changed loads
  • Reissue the revised drawings to the design team, with the changes clouded
  • Coordinate the revisions with the architect and the other consultants

3. Fee

This work is billed hourly at the Agreement's rates, estimated as follows:

  • Principal engineer: 4 hours at $195, $780
  • Project engineer: 16 hours at $165, $2,640
  • Drafting: 12 hours at $110, $1,320

The estimated total is $4,740, and Engineer won't exceed it without Client's written approval.

4. Schedule

Engineer will reissue the revised drawings within 10 business days of approval. Until then, work on the affected areas is paused, so it isn't done twice.

5. If Not Approved

If Client doesn't approve this request, Engineer will continue under the Agreement's current scope, based on the layout it was given before the change. The revised layout can't be built from those documents without this work.

6. Agreement

All other terms of the Agreement apply to this work, including its payment terms. Once signed by both parties, this request becomes part of the Agreement. If Client needs the owner's approval for this work, Client is responsible for getting it.

By signing below, Client approves this work and its fee.

As soon as a change falls outside the agreed scope, and before doing the work. Common triggers are layout changes after a phase is complete, added program, and extra site visits.

What happens if additional services aren't approved?

The engineer continues under the original scope. Asking first, with a clear fee and schedule impact, gives the client a real choice and avoids disputes over unbilled work.

Is this additional services request template free?

Yes. Read and copy the full text on this page, or edit it online and see it as your client will. When it's ready, start a free Clientary trial to send it or download it as a PDF.
